When a large commercial property landlord approached us for help with managing their maintenance and compliance we approached the task from a strategic perspective.
Our first task was to carry out a strategic property review, looking at every building within the portfolio to assess each one independently before looking at the company’s obligations as a whole. Their portfolio includes offices, retail premises, shopping centres, warehouses and light industrial units.
Our objective was to work closely with the landlord to find ways of minimizing outgoings, managing and maintaining the premises and ensuring the landlord and tenants were fully compliant with current legislation.
As well as ensuring our client was meeting their legislative responsibilities and avoiding fines for non-compliance, we also set in place procedures which improved landlord and tenant communications and made sure there were no gaps in maintenance or compliance checks. Our IT division audited all their computer systems and backup, storage and security and set in place disaster recovery plans for IT systems and data.
Key to our role as outsourced facilities manager is our Planned Preventative Maintenance service which ensures that electrical and other infrastructure is regularly tested and maintained. Not only does this ensure the landlord is fully compliant, it also reduces the challenges involved in coping with reactive electrical and infrastructure repairs.
There will always be times when urgent maintenance is required and at moments like this our teams are on hand to respond quickly. When one of the office buildings developed a leak in the ceiling we were able to attend within hours and the room was fully restored and back in use by the end of the day. We brought in plumbers, electricians to check for damage and safety and decorators to restore the room to a good state of repair.
Our estates helpdesk is manned by fully trained service staff who will allocate reactive maintenance tasks to the relevant teams and respond quickly to emergencies. We operate a 24/7 call out service for clients who need round the clock support.
